SAP Business AI – Key Concepts and Applications in Finance

Gaining a better understanding of artificial intelligence in the SAP environment: SAP Business AI, Joule, Embedded AI and the AI Foundation make business processes smarter, more automated and more efficient.

The world of enterprise software is evolving faster than ever before: SAP Business AI is no longer a future scenario, but the new standard for efficient financial processes. SAP is pursuing a clear strategy in this regard: artificial intelligence is not simply tacked on as a gimmick, but is natively embedded within business processes – from S/4HANA right through to the Analytics Cloud.

Whether it’s automated payment reconciliation or precise liquidity forecasts – generative AI is transforming the role of the CFO from that of a data manager to a strategic co-pilot. In this article, we explain the key terms and use an example to show you how you can already unlock the potential of Business AI in your finance department today.

Definition of key terms

SAP Business AI

This is the umbrella term for SAP’s entire AI portfolio. It is not a single solution, but a brand promise: AI that is ‘business-ready’. This means it is integrated into business processes, utilises contextual enterprise data and meets the highest standards for data protection and ethics.

Joule

Joule is the AI co-pilot (the user interface). It is the ‘face’ of the AI for the user. Joule understands natural language, can answer questions about business data (e.g. ‘What is the outstanding amount for customer X?’) and carries out tasks across different systems.

Embedded AI capabilities

These are AI functions built directly into applications such as S/4HANA. They often operate in the background without the user interacting directly with a chatbot. Examples include the automatic completion of invoice data or the prediction of delivery delays.

AI Foundation

This is the technological foundation of the SAP Business Technology Platform (BTP). It provides the infrastructure: access to LLMs (Large Language Models), tools for developers (AI Core) and data harmonisation services. Without the AI Foundation, neither Joule nor Embedded AI could function.

Interaction in S/4HANA

All these technologies converge in S/4HANA, SAP’s flagship ERP product. In the modern strategy, S/4HANA is no longer just a database, but an intelligent system:

  • Embedded in S/4HANA: The embedded AI capabilities are integrated directly into the transactions (e.g. intelligent cash application in Financial Accounting).
  • Interaction with S/4HANA: Users are increasingly expected to control S/4HANA via Joule, rather than navigating through complex menus.
  • Data source: S/4HANA provides the business-critical data, which is processed via the AI Foundation to deliver precise answers.

Joule Agents

A Joule Agent is a specialised AI unit designed to autonomously handle complex, multi-stage business processes.

  • Autonomy: It does not simply wait for the next command, but plans the necessary steps itself.
  • Role-based: Agents are often designed for specific roles (e.g. a ‘Customer Service Agent’ or a ‘Dispute Management Agent’).
  • Multimodal & collaborative: Agents can communicate with one another. If an agent in S/4HANA identifies a problem (e.g. a delivery delay), it can contact another agent in the supply chain system to find a solution.

The agents sit ‘at the top’ of the existing structure and utilise all the underlying layers:

  • Joule as the ‘Orchestrator’: Joule is the portal through which the agents are controlled or their results monitored. Joule can be thought of as the ‘manager’ who delegates tasks to the various specialised agents.
  • S/4HANA as the ‘operating environment’: The agents operate within S/4HANA. They read data from tables, post documents or amend master data – tasks that used to be carried out manually by a human in the SAP GUI or in Fiori apps.
  • AI Foundation as the “toolkit”: The agents use the AI Foundation on the BTP to access LLMs capable of drawing logical conclusions (reasoning).
  • Business AI as the “framework”: The agents are part of the commitment to deploying AI securely and contextually within the organisation.

Embedded AI capabilities in S/4HANA Finance

In the finance sector, too, there are embedded solutions that can be used to make companies’ end-to-end processes more efficient through AI technology. One example is the SAP Cash Application, which can be used for payment reconciliation within the order-to-cash process.

The typical problem is that customer payments cannot be unambiguously matched to outstanding invoices because several invoices are settled with a single payment, or because reference numbers are incorrect, missing or do not exist at all. The set of rules is not always sufficient to match the payments at this stage, and the reconciliation is routed for manual processing. As a result, accounts receivable remain outstanding for longer than necessary. The manual accounting workload ties up the capacity of finance staff in tedious, unproductive work, and financial closings are delayed.

The solution is called SAP Cash Application.

Instead of simply searching for matches based on rigid rules (if A = B, then post), the application learns from the past behaviour of your accountants.

The process in detail:

  1. Incoming payment: Bank statements or payment advices are received by the system.
  2. Matching: The app compares the payment with outstanding customer invoices.
  3. Suggestion or automation: * If the confidence score is high, the item is reconciled fully automatically.
    • If there is uncertainty, the accountant receives a list of the most likely matches.

The associated benefits:

FeatureImpact on the O2C process
Higher rate of off-the-books entriesLess manual intervention is required, as the AI can also understand imprecise intended uses.
Faster access to fundsAccounts receivable are updated more quickly, which makes the dunning process and credit limits more accurate.
ScalabilityAs your business grows and issues more invoices, you do not need to increase your accounting staff proportionally.
Learning outcomeThe system becomes smarter with every manual correction and recognises patterns (e.g. ‘Customer X always deducts a 2 per cent discount, even without a reason’).
