Maintain business partners efficiently - with screen personas instead of transaction BP

Transaction BP is the central tool for maintaining business partners in the SAP S/4HANA standard - and a real stumbling block for many users. The creation of contact persons is particularly time-consuming: In contrast to SAP ECC, several steps have to be carried out manually here, which is not only time-consuming but also prone to errors.

Three steps for one contact person - with great effort

If you want to assign a contact person to a customer, you currently go through these steps:

  1. Creation of the business partner with the correct grouping for contact persons
  2. Maintaining the relationship with the main customer - including the department required for print programs
  3. Assignment of the partner function AP (contact person) in the main customer via partner function maintenance

It is not only the process itself that is problematic, but also the presentation: a compact overview of all contact persons with department information - as known from ECC - is missing in the S/4HANA standard.

Screen personas as a solution

The complexity in the BP transaction is mainly caused by overloaded dialogs and unneeded fields. This is precisely where SAP Screen Personas comes in. The license-free add-on makes it possible to greatly simplify interfaces: Fields can be hidden, values pre-filled and follow-up actions automatically triggered by script.

This means for the maintenance of contact persons:

  • The entry screen can be reduced and made more intuitive
  • Relationship management with the customer (incl. department) can be automated in the background
  • Input errors in BP grouping or roles are avoided by preselection

An additional advantage: the implementation effort is low. Depending on the system status, installation takes around one hour and activation takes around four hours. The actual customization of the interface and scripting for contact person maintenance can be implemented within a day.

Summary

Transaction BP is not ideal for contact person maintenance in the standard system - neither in terms of usability nor efficiency. With SAP Screen Personas, the process can be significantly simplified without having to intervene deeply in the system logic. For companies that regularly maintain contact persons, this investment can quickly pay off.
