Smart Invoicing in SAP SAP Cloud ERP (Public Cloud) - Part I: The end of the NAST

Why message control using NAST in the SAP Cloud ERP is being replaced by other solutions, and what those solutions are. This first part of the blog series uses concrete examples to show where traditional NAST control reaches its limits and how SAP Cloud ERP Output Management specifically addresses these weaknesses.

The End of NAST in the SAP Cloud ERP

Creating and sending invoices are among the core processes in every SAP system. Nevertheless, in many companies, invoicing is still based on mechanisms that date back to the ERP era and can only be managed today with considerable effort. By migrating to the SAP SAP Cloud ERP, companies can finally leave NAST behind. SAP relies exclusively on modern S/4HANA Output Management for this. This new approach significantly simplifies invoice management, makes it more transparent, and optimally prepares systems for current requirements such as e-invoicing.

This first part of the blog series uses concrete examples to show where classic NAST control reaches its limits—and how the SAP Cloud ERP Output Management specifically addresses these weaknesses.

Traditional NAST Control vs. Output Management in the SAP Cloud ERP

Problem:Diagnosis Requires IT

A classic weakness of the NAST control system: Errors are visible, but rarely easy to explain.

In many systems, the output log simply displays a red status message. The actual cause remains unclear and can often only be determined through debugging or in-depth knowledge of customizing. As a result, the analysis almost inevitably falls to the IT department.

Example:

Customer 4711, Country = DE

Output Type = RD00

Expected: Invoice via email

Reality: Invoice is printed

The cause can be varied: missing conditions, incorrect access sequence, incomplete partner data, or technical errors in the form. The business department cannot understand why the system is reacting this way.

Solution:Agility & Self-Service

SAP Cloud ERP’s Output Management addresses this very need. Control is managed centrally via the Fiori app “Output Parameter Determination.” The underlying decision tables clearly show which rule was applied and why. Key users can review these rules and, in many cases, adjust them themselves—without any debugging or traditional customization by IT. Specifically, this means that key users can immediately see in the app which condition (e.g., country, customer, communication type) led to the selection of a specific output channel. Changes such as adding an additional email recipient or switching a channel can be made directly in the rule set and documented with version control. This creates a traceable history of adjustments—without deep intervention into technical customizing.

Problem:Rigid "If-Then" Logic

NAST lacks flexibility in more complex scenarios. While special rules can be implemented, they quickly lead to a multitude of conditions, access chains, or even customer-specific code.

Example:

Customer 4711 → Email

Customer 8150 → always print

Customer 9001, Country = AT → PDF + XML

Customer 9002, Country = CH → PDF only

In the traditional model, such requirements lead to an ever-increasing amount of custom logic. Every business change (“additional recipient,” “new channel”) usually entails a change request, including transport and testing.

Solution: Process Flexibility

In SAP Cloud ERP Output Management, control is based on business rules rather than rigid condition tables. Rules can be clearly prioritized and combined with one another. The logic remains readable, maintainable, and expandable—even as new countries, customers, or output formats are added. New requirements—such as the parallel output of PDF and structured XML formats—can be added as additional rules without “bending” existing logic. Prioritizations such as “customer-specific rule before country rule” can also be explicitly defined and are visible to the user. This creates a flexible set of rules that grows with the business model rather than technically holding it back.

Problem: Channel Fragmentation

In many traditional system environments, the output channels are technically separated. Printing and PDF generation run through NAST, while electronic formats such as XML, XRechnung, or Peppol run through separate monitors or add-ons.

Example:

A PDF invoice is successfully sent via email

at the same time, the XML output fails (e.g., missing routing ID)

The error is only visible in a separate monitor

There is no end-to-end overview of the entire output process.

Solution: Seamless Transparency in the Fiori Launchpad

The SAP Cloud ERP resolves traditional monitor fragmentation through seamlessly integrated Fiori apps. Traditional invoice distribution (PDF, print, email) can be transparently monitored via the "Manage Output Items" app. For electronic formats (XML, XRechnung, Peppol), the “eDocument Cockpit” (SAP Document and Reporting Compliance) comes into play.

Even though these are specialized monitors, they integrate seamlessly in the cloud environment and offer users a consistent user experience. For example, if the XML transmission via the Peppol network fails while the PDF was sent successfully, this is immediately visible in the respective apps—including a timestamp and a clear error message. The endless searching through technical logs is eliminated, which greatly simplifies error analysis and shortens response times in day-to-day operations.

Summary

The comparison clearly shows that SAP SAP Cloud ERP Output Management is not merely a technical replacement for NAST, but a business-oriented new approach.

Typical weaknesses of traditional message control—lack of transparency, rigid logic, and fragmented channels—are replaced by rule-based control, self-service capabilities, and centralized transparency. For both users and IT, this means less effort, faster adjustments, and significantly more control over the billing process.

Smart Invoicing in the SAP SAP Cloud ERP does not simply mark the end of NAST, but rather a shift from technically driven message control to transparent, flexible, and business-oriented invoicing processes.
